How Headspace Health Used ChartHop to Maintain Data Integrity Through a Merger

In 2021, Headspace and Ginger joined forces to formHeadspace Health, the world’s most comprehensive and accessible mental healthcare platform.

In order to best support the team through the merger and beyond, Casey Delehanty, in the role of Manager, People Data Science, and Bethany Leap, in the role of People Data Analyst embraced the opportunity to better leverage their people data to make meaningful and data-driven decisions to advance the business.

Bridging People Data from Two HRIS Instances

What’s worse than having a clunky HRIS that’s nearly impossible to navigate without a data science background? Having TWO clunky HRIS instances that employees can’t self-serve to pull reports and glean insights from people data. That was the exact position of Ginger’s People Data team as it prepared to merge with Headspace to create Headspace Health.

Pre-merger, Ginger and Headspace each had an existing instance of the same HRIS platform. However, because they were each implemented entirely differently, merging the two into a single instance wouldn’t be as easy as uploading data from one platform to the other. As the two companies became one, the People Data team needed a place to see unified people data across the new organization.

Thankfully, they implemented ChartHop.

Sharing more about the transition, Casey says: “ChartHop’s usability and flexibility fit our needs, when and where we needed it to. It’s been a godsend in helping us navigate that period where we had these two competing instances of our HRIS. Pulling data from both HRIS instances, ChartHop became the only place we could see the entire organization and continue building reports using our people data.”

Saving Time with Accessible People Data and Automated Reports

Prior to using ChartHop, Casey and Beth were inundated with requests from Ginger team members for reports and access to information housed in their HRIS. Common tasks included pulling reports on employee departures or providing employee birthdays to an executive assistant.

Because this information only existed in their HRIS, this left Casey and Beth with a mounting to-do list of data pulls and time spent refreshing reports to provide the most recent and accurate information.

Those time-consuming, albeit small tasks, prevented the People Data team from spending time on projects that had a more tangible, powerful impact on the business. As they, along with the rest of Ginger, prepared to merge with Headspace, Casey and team knew they needed to automate the day-to-day manual reporting and repetitive tasks that were taking up way too much of their time.

With ChartHop, they are able to do just that. Now Casey simply creates and saves a custom data sheet view using dynamic filters and shares it directly with the person who requested the report. That person can bookmark their custom view and access it whenever they need to. And because these custom views are a live report, pulling the most up-to-date data from the HRIS, it’s a one-and-done task for the People Data team and frees up their time for more impactful work.

As Casey puts it, “ChartHop enables us to flex what we can really do in a meaningful way.”

Scaling Operations and Streamlining Comp Planning

Now operating as a unified company, Headspace Health set their sights on streamlining processes and scaling operations.

At the top of the docket: compensation planning.

Before bringing their compensation planning into ChartHop’s secure platform, Google Sheets was the only consistent way that Headspace Health handled compensation planning. At the time, each functional leader had their own workflow for managing compensation reviews and merit increases were planned using individual criteria.

For the People Data team, this meant pulling multiple reports out of their HRIS, compiling the information into a custom spreadsheet for each functional leader, then re-uploading any changes to the HRIS into a consolidated view.

Reflecting on the process change Casey shares, “Managing comp changes was an absolute nightmare before ChartHop. Consolidating the various spreadsheets on the back-end was a very, very manual and arduous process.”

Headspace Health has since traded in their nightmare of spreadsheets for a new reality of managing comp reviews in a visual and collaborative platform. ChartHop’s Compensation Reviews provides each stakeholder with their own workbook, with policy-based guidelines, to plan merit raises more effectively with a comprehensive view of performance ratings, salary history, and more — all in one system.

Headspace Health’s Vision of Their New Org

Seemingly overnight, Headspace Health’s team went from a couple hundred employees to around 1,200. Luckily, ChartHop’s dynamic org chart lets key stakeholders visualize their people and org structure, for a clear view and understanding of how the organization has evolved over time.

And thinking back on the impact of keeping stakeholders informed in a remote workplace, Beth concludes: “We’ve found that letting more people across the company into ChartHop has been critical to having trust in our data integrity and a more accurate understanding of the shifting org structure. Because more stakeholders are able to access the org chart, which wasn’t the case with our HRIS.”
